thecustombarmats.com (“we”, “us”, “our”) operates a B2B website and quote service for custom-printed and embossed bar mats. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data. It applies to all visitors to thecustombarmats.com and to all customers who submit a quote request or place an order.

Information we collect

We collect information in three categories.

Information you give us through forms. When you fill out the quote form, contact form, or any other form on the site, we collect the fields you submit. This typically includes your name, business name, email address, phone number, shipping address, quantity, brand information, and any files or attachments you provide. When you place an order, we additionally collect billing information through our payment processor.

Email correspondence. When you or reply to our messages, we retain the content of that correspondence as part of your account record.

Server logs and analytics. Like every commercial website, our hosting provider records standard server logs (IP address, browser user agent, request paths, timestamps) and our analytics tool records aggregate usage data (pages viewed, time on page, referral source). We do not sell this data and we do not use it to build cross-site advertising profiles.

How we use your information

We use the information we collect for the following purposes:

  • Responding to your quote request, including preparing a mockup and sending you a price quote
  • Producing and shipping your order
  • Customer service, including reorder support and warranty handling
  • Sending transactional emails (order confirmation, mockup proofs, shipping notifications)
  • Sending marketing emails, only if you have opted in by checking the marketing email box or by separately subscribing
  • Operating, securing, and improving the website

We do not use your data for any purpose outside this list, and we do not sell your data to third parties under any circumstances.

Third-party services

We rely on a small number of third-party services to operate the business. Each one receives only the data it needs to perform its function.

  • Hosting provider. Our website and server logs are hosted on a commercial hosting provider that receives standard request data.
  • Email service provider. Our transactional and (where opted in) marketing emails are sent through an email service provider that receives your name and email address.
  • Payment processor. When you pay an invoice or place an order, payment information is handled by a PCI-DSS compliant payment processor. We do not store credit card numbers on our own systems.
  • Analytics provider. Our analytics tool receives aggregate, non-personally-identifying usage data.

Each of these providers operates under its own privacy policy and is contractually required to protect your data.

Cookies and tracking

We use two categories of cookies.

Essential cookies. Used to maintain your session, remember form progress, and operate basic site functionality. These cannot be disabled without breaking the site.

Analytics cookies. Used by our analytics tool to record aggregate usage. These can be disabled through your browser settings or through any cookie consent banner shown on first visit.

We do not use advertising or retargeting cookies on this site.

Data retention

  • Active customer records (quote history, order history, artwork files) are retained indefinitely as long as you remain an active customer.
  • Inactive quote leads (quote requests with no follow-up activity) are retained for 24 months from the last contact date, after which they are purged from our active systems.
  • Email correspondence is retained for 7 years for tax and warranty purposes.
  • Payment records are retained for 7 years for tax purposes.
  • Server logs are retained for 90 days.

Your rights under GDPR, CCPA, and similar laws

If you are a resident of the EU, UK, California, or another jurisdiction with similar data protection laws, you have the following rights:

  • The right to know what data we hold about you
  • The right to receive a copy of that data in a portable format
  • The right to correct inaccurate data
  • The right to request deletion of your data, subject to our legal obligation to retain certain records for tax and warranty purposes
  • The right to opt out of marketing communications at any time
  • The right to lodge a complaint with your local data protection authority

To exercise any of these rights. We will respond within 30 days.

Marketing emails

Marketing emails are opt-in only. If you receive a marketing email from us, you can unsubscribe using the link at the bottom of every message or by emailing with “Unsubscribe” in the subject line. Transactional emails (order updates, mockup proofs, shipping notifications) are not affected by unsubscribing from marketing.

Children’s privacy

This is a B2B website. We do not knowingly collect data from anyone under 16. If you believe we have inadvertently collected data from a minor, email us and we will delete it.

Changes to this policy

If we update this policy, we will revise the effective date at the top of the page and post a notice on the website for 30 days. Material changes will also be emailed to active customers.
